What does TaskProof do?
It takes the compliance checks a care home already does on paper and puts them on a phone. Staff record the fridge temperatures, the room cleans, the fire doors and the afternoon's activities, and sign with a finger. Managers see what is done, what is late and what went wrong. The whole record exports as one audit pack.
Which care home departments does it cover?
Four, each with the checks and tools its own work needs: the kitchen, housekeeping, maintenance and activities. They sit in one account, show up on the same dashboard and come out in the same audit pack. It also works for kitchens outside care, in pubs, schools, hotels and restaurants.
How much does care home compliance software cost?
TaskProof is £35 per site per month for one team, £55 for any two, and £79 for all four, excluding VAT. Paying for a year costs ten months rather than twelve. A site means one building with its own roster, so a group of four homes pays for four sites. The prices are on the pricing page rather than behind a sales call.
Do we have to pay per member of staff?
No. Every plan takes as many people as you want to put on the roster, and the price never changes with the number of them. Someone covering a shift picks their name off the roster and signs with a finger, so an agency cook on a Tuesday needs no account, no email and no password.
Is there a free trial?
Yes, 30 days of the whole product rather than a cut-down version, with no card and no setup fee. We are not taking sign-ups straight from the website yet, so it starts once we have set you up, which is what the demo call is for.
Can it replace our paper fridge temperature records?
Yes, and the rest of the food safety diary with them. Fridge and freezer temperatures, opening and closing checks, cooking and hot holding, cooling, deliveries and probe calibration are all written and waiting to be copied, with safe ranges and the action for a warm unit already filled in. If your kitchen runs on Safer Food, Better Business or any other HACCP-based system, these are the same daily records, done on a phone instead of a clipboard.
Will the records be enough for the EHO or CQC?
We can tell you exactly what they get, and we can't speak for an individual inspector. The audit pack is one export built from the records themselves: every check in the period, who did it, what they signed, every reading, every miss, and what was done about each one. Nothing is rounded up and the misses are in there too.
Does it work when there is no signal in the walk-in?
Yes, as a backstop rather than the way to run it. You will want wifi, the same as you do for anything else, but a walk-in fridge or a cellar does not stop a round: the check waits on the phone and goes up when you are back in range. The record shows both the time the check was done and the time it reached us, because an inspector is entitled to see the gap.
Do you store resident or care records?
No. TaskProof has nowhere to put them. The work is organised by room, by dish and by piece of equipment, and a session record counts how many people joined in without naming anybody. Shift handover notes are free text, so they stay out of the audit pack unless a manager deliberately includes them, and they are deleted after twelve months by default.
Can we change the checks, or add our own?
Yes. Every ready-made check is a starting point: rename the fridges to match your kitchen, reorder the tasks, move a check from daily to twice a day, or write one we never thought of. Describe a check in a sentence and TaskProof drafts it for you to edit. Editing makes a new version, and old records still show the version they were done against.
What happens to our records if we stop paying?
The account goes read-only. You can't record anything new, but everything already recorded stays readable, still exports, and the audit pack still builds. Records are kept seven years by default and you can ask for longer, never shorter. They are your records and we don't hold them over an invoice.
Can a record be changed after it is signed?
No, and that includes by us. A completed check is fixed. A correction is a new entry that says who changed what and why, with the original still underneath it, and nobody can edit that trail. Every audit pack also gets a fingerprint when it is made, which we keep, so a copy can be checked against it character for character.
